Having just purchased a memorable phone number that allows people to find my company. What I hadn’t realised or at that point know was all of the call management systems that you could choose from a provider. I reasoned it would be of benefit providing some clarity on the huge minefield that is Call management.

So to start with what is call management?
A structure that you set in position to sort calls that come into your organisation and deals with them in a way set out by you is what call management means. The variety of ways your calls can be dealt with are numerous but here is a selection of market standard systems.

Web management – what this lets you do is log into a computer anywhere in the world and read, change, listen to and redirect the phone calls that are coming into your organisation. Great if you travel a lot and have to be kept up to date with the latest happenings within your organisation.

A Time/Date plan – allows you to organise how your system deals with calls at specific times of the day. For example directing calls to the workplace from 9am to 5 pm, your blackberry from 5pm to 7pm and then answer phone from 7pm till 9am the following day. You can organise this for whatever time you need and can be a client saver if used in the right way.

Call divert – The majority of memorable numbers 0800, 03, 0845 etc will let you send incoming phone calls to that number or any other number which ensures you never have to miss a phone call it doesn’t matter what the circumstances. Can be very useful particularly as part of a business continuity plan all of your equipment may have gone into temporary storage but you can still receive your calls and direct it to new site accommodation until you have the disaster sorted out.

Voicemail to email – ensures that if it is of real necessity you receive calls that come into the organisation that you can visit any internet café any where in the world and listen to your phone calls. Don’t forget however that if you are abroad and have just checked your mail that ringing a client up direct may cost you quite a bit.

Welcome message – A welcome message is just what it says on the jar letting the person ringing know they have contacted the correct number and getting across your professionalism. First impressions are a must in any organisation.

Call Queue – “I’m sorry the person you have called Is busy you are number 20 in the queue”, not the message you want to hear but allows you to make a decision that the person you are ringing is busy and that you can either hold the line or leave a voicemail. This kind of system can help sort urgent and less urgent calls and also gives you access to a captive audience when it comes to marketing.

Caller options – The sort of phone system that is automated but puts the caller in charge, “press 1 for accounts, 2 for Facilities” etc. Each option can be broken down into varying options allowing the customer to get through to precisely who they need.

Hunt group – A hunt group is extremelly useful as it lets you direct calls to different people that could deal with the types of questions that would be arriving in on that line. Really useful if you have a large team and need certain people to answer calls, will direct to number 1, then number 2, then mobile 3, then voicemail. Helps ensure that clients don’t get sent to the wrong people and get passed around from pillar to post.

Geographic call routing – This is a useful little system for people that do their job within a network of offices or franchises across the country as It will redirect to the office closest to the person that is calling.

As with any systems ensure you have a clear idea what you need to get out of your call management, in that way you don’t pay out more than you need to. Most organisations are happy to talk through your requirements and provide what you want if possible. Sit down and write out what your organisation will need before you pay out, call management is brilliant if used in the right way get as much information as you can, hopefully this has been of benefit.

I have been many years working for offline hi-tech and software companies and I have been really amazed about the number of businesses which are claiming to make a lot of money online.
I am really scared for many of them because they seem to focus on one product or one business with no further improvement.
In details many businesses promote a product that is very good for the current market needs but after months or years you see the same product or maybe they have moved to another product.
Most of them then fail because if you go deep inside you discover that they have no idea of what they are selling or promoting, they just follow the trend of the moment.
At the end I really believe I am right when I think that you have to think to your business as well as many other companies do offline.

You need to start with a business idea and create a business around it.
You must create a business plan to see if you can afford it and how long it can sustain your business.
I did not see people making risk assessment, long term plans and roadmaps.
You need to project your business from here to the next 3 years at least.
If you have an idea, try to figure out for how long you can profit from it creating products which are each time an enhancement of the previous ones.
Focus on provide your customer a complete service. Do not stop in providing a product.

You need to find a way to constantly have your customers come back to you, because they know they find with you all they need for your business.
Try to ally with other businesses which can provide a service or a product that is complementary to yours.
You can really create a network of services and have your customers come back to you all the time.
If you have a roadmap this means you have your business under control because in this way you have created a vision.
You have a catalogue of product to promote in the next months or years even before you launch your first one.
People will realize that they need to keep in touch with you also in the future.
Many software companies do like this.

You can do the same if you are a writer and provide “How to” documentation.
You can really create a roadmap of information products and your customers will really believe you are an expert, a person who knows what is doing.
Vision, long term planning, roadmap, business plan and expertise are the really key to success of serious businesses and business people in general.

The Indian Institute of Planning and Management, one of country’s leading academic institutions, imparting quality academic programs in entrepreneurship and management, had today organized a full-day seminar for its students- “HR As A Strategic Business Partner : The Myths And The Realities”. At Hotel Taj Krishna. The seminar, an initiative of the institute’s HR Club – Human Factor, was inaugurated by Mr. J.P.Narayan, Chairman, Loksatta.

Down the lane IIPM has been continuously emphasizing on the organizational foundation and its successful growth, thereby outlining the factual visage of HR. This Concept was once again customized through this seminar. Some of the top level HR professionals of different sectors of the industry, and the academic renowned in the respective field were in attendance to address and interact with a strong gathering of over 250 students and members of the faculty. Some of the panelists included corporate leaders of the likes of Mr. V.Sundar Rao (VP-HR, Saint Gobain Ltd.), Mr. Saumen Chakroborty (Global HR Chief, Dr. Reddy’s Laboratories). Mr. Sriram Darbha (Head-HR, Hutchison Telecom), Mr. Ravi S. Vadapally (GM – Corporate HR, Satyam Learning Centre) and Mr. Govind Baghasingh (Director-Operations, Mensamind), among others.

Mr. J.P. Narayan, Chairman, Loksatta gauged the myth that follows along with the concept of HR as a calculated business associate. He said, “By design, the perspective demands that HR managers become strategic partners in business operations, playing prospective roles rather than being passive administrators reacting to the requirements of other business functions.” Mr. R.C. Shastry, Director (Retd.), Satyam Computer Services Ltd., also expressed his views.

Speaking on the HR tactics, Mr. Saumen Chakroborty, Global HR Chief, and Dr. Reddy’s Laboratories commented, “Change is the call of the hour….. it is the magic formula for re-structuring the HR strategies a company where satisfaction of the employees and generation of the business goes hand in hand.” He overtly explained the dynamics of today’s HR vibes and also explained that as organizations continue to strive to identify ways to utilize their human resources at optimal levels, the need to link human resource strategy to the business strategy has become more urgent. Highlighting on the comment HR Scenario, Dr. Govind Baghasingh, Director- Operations, Mensamind India., explained, “There is a greater recognition that distinctive competencies are obtained through highly developed employee skills, distinctive organizational cultures, and management systems. This is in contrast to the traditional emphasis on transferable resources such as equipment. Increasingly it is being recognized that competitive advantage can be obtained with a high quality workforce that enables organizations to compete on the basis of market responsiveness, products and technological innovation.

At the end of Seminar, Prof. Satyabrata Dutta Gupta, the Dean Academics at IIPM Hyderabad thanked the gathering for their presence and concluded the seminar by saying, “This enlightening seminar on one of most debated issues of recent times have been conducted with an objective to create an academic interface for the students of IIPM Hyderabad with the corporate heads of the region in order to provide optimum exposure to the students.” At the end of the day, it was a great learning experience for the students at IIPM, as they were exposed to debates and discussions regarding the most booming subject matter in the management sector.

Business Management isn’t the most glamorous field of study in existence, though it does have its perks. As is commonly well known, a degree in business management almost guarantees solid employment prospects and a livable wage. Still, many see the field as a fast road to mediocrity and general working malaise. What many fail to realize is that the field of business management can be as enjoyable as any other and often more so, depending on the educational route and consequent business chosen.

Several universities offer degree programs in a wide range of managerial subsets. While the employment opportunities related to these specialty areas of management may be fewer and farther between, the payoff for landing a position goes far beyond compensation.

Take golf course management, for example. Few realize that the administrative responsibilities of even the most seasonally limited golf courses at both the amateur and professional levels requires a management presence. While there is certainly office time and a fair share of paperwork involved, one could hardly associate this type of career with a typical nine to five corporate environment. From the front office to the fairways, golf courses require managerial attention, and there are far less interesting places to be offering that attention whose compensation packages and advancement opportunities are no better.

Another often overlooked area of the managerial realm is marketing management. While the title alone might sound less than appealing, a quick look at the facts reveals otherwise. Marketing managers manage the activities of creative personnel in order to ensure the best possible results for the company’s clientele. This in and of itself requires a great deal of creativity and the ability to make value determinations on the ideas of others. This represents a far cry from the figure checking desk jockey that the word “manager” brings to mind for most of us.

Without a doubt, education is what you make of it. But choosing an educational path that incorporates something of interest needn’t relegate students to a life of poor earnings associated with more liberal pursuits. Furthermore, choosing a career in management doesn’t have to pigeonhole students into the daily grind so often equated with the field.

To start a business and have it up and running successfully, you will need to think of some realistic business management plans. With these plans and your dream in mind, you will have to work through the initial difficult stages to build up good business management strategies and the ways to achieve them. Your business-management skills may be the crux between mediocrity and success.

The first and most important step in a good business management plan is to set clear specific goals and objectives. It is easier to achieve goals or objectives that are distinctive and focused. In addition, it will take lesser time but produce better results continually. As such, design your strategies to achieve your objectives. It makes good business sense to organize the “to-dos” for each day so that there is better focus on every task.

Another important business management trait is align your own personal goals and objectives with that of the company’s and give them full focus until each task has been completed. The more time you spent on perfecting a skill, the lesser will be the time taken to complete the task.

Another purpose of setting goals and objectives is to create a way to measure performance and track accomplishments. Such goals and objectives have to be challenging but achievable. You need to be creative and innovative in order to achieve the specific goals and strategic objectives set up in the business management plans.

At the same time, create your company’s mission and vision statements and find solutions on how to implement or accomplish them. Outline the performance targets and the ways to achieve them. This is to avoid going in different directions. Define the company’s passion and the methods to excel in it. Such business management strategies will strengthen the company’s competitiveness in the industry. In addition, setting up long-term goals will determine the company’s position in ten years’ time and mark out the path to achieve them.

Some entrepreneurs may confuse activity with productivity. Most of the entrepreneurs who succeeded have the ability to identify and categorize specific activities that are extremely crucial or create an extraordinary significance that will contribute towards the overall success of the business. More time will then be allocated to ensure that these are carried out thoroughly and effectively. A successful entrepreneur also has an in-build drive that motivates them to persevere and make things happen. This is one of the most important business management traits.

Another business management characteristic is to know how to respond to industry changes and market conditions. A successful entrepreneur will learn through other people’s knowledge and efforts especially those of their clients or competitors. Capitalize on these new ideas or concepts and your business may expand with lesser efforts contributed and within a shorter period of time.

Due to continuous changes, good business management is an ongoing process to constantly evaluate strategies and monitor performance to see if there are better ways to accomplish the goals and objectives or whether improvements and adjustments need to be made. This may even lead to changing the company’s mission or vision statements.

1. Set goals.

The number one business management tool you can use to better your business is goals. Long term goals, short term goals and mid range goals too. In fact, when you started your business, you wrote a business plan right? Did your business plan include your goals?

Business goals can include anything from how much you want to gross this year to how many hours you want to work. In fact, it’s a common business management goal to work as few hours as possible and make a substantial income. It’s one of the reasons many people start an online business in the first place.

So what are your goals? As you write down your goals, take the time to make sure they meet the following criteria. Are your goals measurable? It isn’t enough to make a goal that you want to make more money or you want to work less. How will you know when you’ve achieved your goal? Quantify your goals so they’re measurable and you know when you’ve achieved success.

Make your goals timely. What is your deadline for your goal? If you don’t have a deadline for your goal, they’ll slip away and never get accomplished. A deadline makes you accountable for your goals. Along with timely is the ability to make your goals attainable. There’s nothing worse than setting a goal that is so beyond your reach you end up feeling defeated. Create your goals wisely, establish a plan to achieve them and you’ll create a pattern of success that will expand beyond your business and into your personal life too.

2. Set your business up the right way.

By setting your business up, we’re talking about both as an entity, LLC, sole proprietor, s corp. etc.., as well as setting it up separate from your personal life. Get a separate business account. Obtain a business address and phone number. Separate and set up your business as an individual entity. This not only protects you legally it covers you with the government and tax system.

Take the time to meet with an accountant to get a best practices system established for accounting, this means all of your payables, receivables and taxes. If you take these measures in the beginning, you’ll make your business life easier both day to day and in the long run.

3. Automate what you can.

The wonder of doing business online is that there are so many features and tasks you can automate. Invoicing can be automated, shipping and fulfillment can be automated. Email marketing can be automated, tracking your web statistics, advertising and even content distribution can all be automated. Automate everything you can to enable yourself more free time to spend on tasks that generate profits or simply to give you more free time to enjoy your life.

4. Outsource well.

Speaking of saving yourself time. Outsourcing is a fantastic tool to give your business a step up and to give you a little less stress. Many self-employed business owners, work somewhere between 40 and 80 hours a week. It can be a lot of stress to own a business and handle every single task and responsibility. That is just one reason to consider outsourcing – save your sanity and spend more time focusing on you and your family.

There are a number of tasks you may be considering outsourcing. They generally fall into a few categories:

• Administrative tasks. These are often time consuming tasks that do not have a high hourly value, yet they need to be accomplished to make your business run effectively and efficiently.

• Professional tasks. These tasks often fall under the realm of copywriting, scripting, managing an affiliate program, marketing tasks and the like. They are important to your bottom line, however they can be effectively handled by an outside professional at a nominal hourly value.

• Technical tasks. These are tasks that may take you some time to learn how to do. They often fall under the realm of creating software, databases, special web languages, and so on. These are time stealers simply because of the time it would take for you to learn how to do these particular tasks. Their hourly value can be quite high. The impact on your bottom line varies from task to task. If you’re creating a new web element, it may contribute directly to profits.

Take a look at your job description. What can you outsource to make your business run more efficiently?

5. Tell people what you want, not how to do it – create systems and accountability.

Delegating responsibilities is good business. Here are a few ideas on how to work with others for maximum results.

• Establish a system of communication that works for both you and your employee. Use the system to include what you want accomplished and by when. Use the rules for goal setting; make the task measurable, timely, and attainable.

• Communicate the task clearly. Make sure that all deadlines, resources, and task responsibilities are thoroughly communicated. Ask your employee questions to make sure task is understood. Once you assign the task, let it go. When you let go, you can focus on tasks required to grow your business and improve profits.

• Upon completion of the task provide feedback to your employee. If constructive criticism is required, sandwich it between positive feedback for best results and to ensure a quality working relationship.

6. Business plans and budgets.

It is a good business practice to have a business budget built right into your business plan. This is particularly important if you plan on seeking financing for your business. Having an accurate and realistic budget will enable you to make educated spending decisions.

When creating a business budget your first step is often to determine your expenses. Your expenses include operating costs, taxes, the costs of outsourcing, marketing, publicity and so on. Make a list of all categories you anticipate having costs and all areas where you already know your expenses.

A budget is not a money diet, it is a spending plan and this is particularly important when it comes to your business. You want to make sure you have enough money to pay your bills and grow your business. Track your expenses and income and review your budget often. If you find you’re spending more in one category, make the adjustments in your budget.

When it comes to owning and operating a business, a few good business management practices can go a long way. Take the time to organize your life, outsource and automate what you can, establish processes to communicate your needs clearly, and structure your planning and spending in a way that makes sense for you.

Fleet management is necessary for any company who owns a fleet of vehicles, whether large or small. A fleet of vehicles can include cars or trucks, vans, taxi cabs, ships, or airplanes. Company’s have the choice of hiring their own fleet manager or contracting with an individual or another company to do it for them. A fleet manager is charged with the job of not just keeping track of the number of vehicles a company has, but also managing the drivers, keeping track of routine maintenance and vehicle diagnostics, and tracking the fuel costs associated with each vehicle individually and the fleet as a whole. The fleet manager will also track a drivers safety record to ensure that the company has minimized the risks involved with having a number of vehicles on the road. Their main goal is to ensure that the company can maximize their productivity and efficiency and minimize their operating costs.

When managing a fleet of vehicles, one of the best ways to do it is with the use of vehicle trackers. A good fleet management system will rely on the use of good vehicle trackers. The type of tracker most commonly found in a fleet of vehicles is the Global Positioning System (GPS). Fleet managers like GPS devices because of their ability to gather data from a vehicles onboard computer – data like speed, fuel usage, mileage, and location. This data is then sent to the manager’s computer so that they can compile it and develop profiles for each driver and each vehicle. The taxi cab industry is an example of one type of business that can greatly benefit from this type of fleet management.

All GPS devices require some sort of analytical fleet management software if they wish to truly be effective in aiding a manager in controlling a fleet of vehicles. Each software system has the ability to be task specific, depending on the needs of a particular company or business. The software allows a company to profile its drivers and each of their trips, along with assist in dispatch operations and the evaluation of the efficiency of a vehicle’s operations. When necessary, some of the more advanced systems can perform the task of Geo-fencing and limit a vehicles travel area or disable the vehicle in an emergency.

The term fleet management usually brings to mind a fleet of cars or trucks. However, it can also apply to any system that manages any type of vehicle or vessel, including ships and planes. Maritime companies often use fleet management systems as a way of keeping track of their ships at sea. The size of these shipping companies, however, makes it difficult for this task to be done in-house, so many shipping companies choose to contract with a fleet management company. The fleet management company will handle the tedious tasks like crewing the ship, and watching over maintenance activities, freeing the ship’s owners up to do other tasks such as sales and cargo booking.

Fleet management is proven as being a very effective tool for any business with a fleet of vehicles. The savings, in terms of time and money, make it a necessity for any company that wishes to run more effectively. These high-tech tools become more cost effective every day and the lower the cost goes, the more value they have for fleet managers.
